Advancement and Parent Relations Assistant

Responsibilities:                   
  • Provide general administrative support to the Advancement Office, including managing the production of assigned mail and email correspondence, maintaining office calendar(s), and managing responses to selected Advancement Office sponsored events and activities;
  • Responsible for working with Advancement Office staff and the School’s administration to involve parents meaningfully in supporting the school’s mission;
  • Assist the Parents Association Chair in recruiting, coordinating and supporting parent volunteers and the activities of the Parents Association;
  • Schedule and attend regular Parents’ Association meetings and managing any needed follow-up;
  • Support all of the Parents’ Association events and activities, including the Golf and Tennis Outing and the annual Parents’ Association social event;
  • Manage all aspects of annual Parents’ weekend, including but not limited to overseeing the design, scheduling and promotion of materials and events;
  • Coordinate the management of Advancement Office events, including working with catering and facilities staff, on the R&B Reception, Raider Giving Day, Benefactor, Campaign and other events;
  • Assist with managing and updating the Raiser's Edge and RaiderNet databases, including serving as back-up for gift entries and acknowledgments, managing address updates and report writing;
  • Assist with writing, proofing and producing advancement Office communications, including The Catalyst, Appeals and Annual Reports:
  • Other duties as assigned by the Assistant Headmaster for Advancement.
 
Other Requirements:
  • Bachelor’s degree preferred;
  • Fluent in Microsoft Office and familiarity with Raiser’s Edge database preferred;
  • Prior experience in the field of advancement or development a plus;
  • Ability to periodically work beyond and outside the typical work day in order to meet the needs of the advancement office and the School;
  • Excellent writing, proofreading, and editing skills required;
  • Organized and proven commitment to deadlines;
  • Ability to work efficiently in a fun, high-energy, deadline-driven environment;
  • A collaborative, trust-based work style with a high level of personal and professional integrity; 
  • Personal qualities including resilience, approachability, and kindness and discretion;
  • Ability to work in busy highly trafficked office;
  • Must possess good social skills and ability to interact and work with a diverse school community including faculty and staff, students, guardians, and parents;
  • Perform tasks which are supportive in nature to the essential functions of the job, which may be altered or redesigned as necessary;
  • Must pass State of New Jersey Criminal Background check.

The Advancement and Parent Relations Assistant position is full-time, twelve (12) months per year, non-exempt, and benefits eligible. The working environment is an office and school environment on a hilly 45-acre campus in Princeton, New Jersey. The abilities to occasionally lift files and storage boxes, walk up and down stairs, attend meetings in varying locations throughout campus, and continually use computers and related office equipment are required. Not all buildings on campus have elevators.  All employees must be fingerprinted and pass a full criminal history background check.
